May board meeting

The following agenda items were handled by the three officers and each district director.

(1) Area beautification-related

  • About Regular Spring Cleaning
    • It will be held on Sunday, May 29, starting at 9:00 a.m. For details, please refer to the separate circular "Regular Spring Cleaning".
    • Purchase new mowers to be used in 6 districts (paid from reserve fund)
  • Littering of cigarettes and garbage
    • Some people are in trouble due to littering. For details, please refer to the separate circular "Don't Litter Cigarettes and Trash".
  • Extermination of Pterocarya rhoifolia
    • The Giant Lily of the valley is a "Specified Invasive Alien Species". If you find it, please pull it out and dispose of it in the garbage. For details, please refer to the separate circular, "Extermination of the Chinese Crested Ibis".

(2) Others

  • Disaster Prevention Drills
    • Disaster drills must be conducted twice a year. Evacuation procedures in the community center will be explained at the next board meeting.
  • Requests to the City for installation of curve mirrors and security lights, etc.
    • If you have any requests for installation in your community association area, please inform the three city officials via the group leader → district leader. Whether or not the city will actually install or improve the facilities depends on the review by the city, so it is not guaranteed that the request will be fulfilled.
  • Nakayama Festival to be held
    • As decided at the general meeting (written resolution: 72 in favor, 2 opposed), the details will be worked out in the future based on the assumption that the meeting will be held (potential dates: 8/20 or 8/27 ).
      • In the Hirano Community Association, only Nakayama and one other community association had not yet decided on a date.
    • On the other hand, we recognize the following issues to be addressed in holding the event.
      • The burden on the three officers, district heads, and group leaders in preparation and day-of operation is heavy.
      • Donations are voluntary, but the reality is that they are almost mandatory.
    • Based on these opinions, we agreed that it is necessary to consider "how we can hold the event in a way that is good for everyone" without being "bound by the conventional form.
    • In order to solicit a wide range of opinions from the board members, we would like to invite the group leaders to attend the next board meeting (June 5, 10:00 - 11: 00). We would like to have constructive discussions, so please come up with ideas to "create a place where everyone can enjoy themselves" in a way that "does not place a heavy burden on any particular person". The Executive Committee will also come up with a plan.
  • Succession of old and new board members
    • This year is also the year of the replacement of the district director and all but three officers have been replaced.
    • However, the handover from the old board members to the new board members is not sufficient, and the new board members are often in trouble.
    • We would like to reiterate that the old board members are requested to fully hand over to the new board members, including the unique rules of the district concerned.
  • Repairing Roads in the Region
    • We have been consulted regarding damage to the gutter area within District 6. The three officials will negotiate with the city and the concerned parties on this matter.
    • If you repair roads, including gutters, without permission, the city will often refuse to accept the repair work. Please do not repair the gutters by yourself just because it is easy, but request the neighborhood association or the city to do so.
  • Mobile vending trucks will be here again in June!
    • There is a related poster on the bulletin board for those who are interested.
    • The mobile vending van will be at the Children's Plaza on the first Thursday of every month. This time, Pantopia, who has a stall in front of Maruhiro, will also come.

  • The next board meeting will be [June 5 (week 1), 10:00-11:00 a.m.
  • As noted earlier, participation of the group leader is also requested.
