March 2023 Board of Directors Meeting

March board meeting .

The following items were discussed by the three directors, district heads, and group leaders.

(1) To all group leaders on the occasion of the General Meeting of the Residents' Association (written resolution)

• As reported in last month's circular, this year's AGM will also be held by written resolution.
• This month, there are important requests such as "Election of Delegates" and "Collection of Written Votes", so please read each circular carefully. In order to remind you, we will circulate the same "Notice of the General Assembly of the Residents' Association (written resolution)" and "General Assembly Delegate Proxy Form" that were circulated last month again this month. If you have any questions, please contact your third officer or district manager.

(2) To all active members .

• Please excuse my rudeness in addressing you in writing as I will not be able to meet you at the board meeting.
• Unfortunately due to the problem of the new coronavirus we were unable to hold most of the events, but thank you for your hard work over the past year, the current officers will be in charge until the distribution of the city newsletter in early April, so please give them a little more time (new officers will be in charge from the April circular).

(3) For those who will be on the board of directors in the new year .

• Make sure that the current and new officers take over the duties from the incumbent at a face to face meeting or other such occasion.
• Please make sure that your name and contact information are correct in the "List of Nakayama Residents' Association District Officers for 2022" in the General Meeting Proposal that will be distributed at a later date. Any corrections will be reflected in the list of officers for the new fiscal year, which will be distributed individually in April.

(4) Corrections to the agenda and other documents distributed to current board members .

Proposal

• The following correction was made to the general date of Agenda Item No. 3 due to an error.

• Order and 5 years of the Nakayama Residents' Association district service member directory .
  • Corrected the role of District 6 Deputy District Director Mr. Yamazaki to Public Relations .

The Role of the District Head and Group Leader Document

• Correction of some of the section numbers in the second half of page 2 (after item 11) due to errors
• After the correction, the contact information in item 11-6 was corrected by Mr. Tsubokawa, the previous vice president, as follows: "℡080-1013-8302, Mr. Sakamoto, Vice President, District 4, Team 7". The contact information in item 11-6 was corrected by Mr. Tsubokawa, the previous vice president, as follows.

Those who have changed neighborhood associations, etc.

Next Board Meeting

• The next board meeting will be held on [April 16, 2023 (3rd week of the month), 10:00-11:00 a.m.], with only the three officers and the district director, but new board members who are interested are also welcome to attend.
