June 2022 Board of Directors Meeting Report
June board meeting
The following agenda items were handled by the three officers, each district head and group leader.
(1) Thank you for Zero Garbage
- The event was successfully completed on Sunday, May 29, 2011. Thank you for your cooperation.
(2) For information related to disaster prevention
- As part of the disaster drill, the following information about the community center was disseminated.
- Emergency exit locations (2 locations on 1F and 2F), fire extinguisher locations (3 locations at the entrance of the community center, kitchen, and 2F), tanker locations, fire alarms, and the address of the center.
(iii) Requests for installation of curve mirrors and security lights
We asked you to compile installation requests last month, but if you have any requests, please let the chairman know.
4) Call for participants in disaster drills in the Hirano area
If you know anyone who would like to attend, please let the chairman know.
5) Appointment of one member of the Sports Festival Executive Committee
- Deputy District Director in charge of Physical Education: Mr. Nagano from District 5 has accepted the position. Thank you very much.
- At this time, the Hirano District Athletic Festival is under consideration for implementation. However, it is expected that the festival will not be held as in previous years, but will be scaled down or reshaped.
(6) Others
- Higashimatsuyama City will be offering a service to accept your negative number card from July 19th to January 28th. Please check the July newsletter for details.
- Regarding the issue of sludge ponding in the area, it has been decided that if the issue needs to be addressed, the neighborhood association will put together a request to the city's street department. Please do not contact them individually.
- In addition, the city's road department has informed us that they will be working on the shoulders of six neighborhoods. Details will be communicated in a later circular.
- A warning was issued regarding the manner of use of the Children's Plaza, including suspension of use. We decided to first issue a warning, and if the situation does not improve, we will take the next best measure.
- (Forgot to let you know at the board meeting) A mobile vending van will be at the Children's Plaza on Thursday, July 7 at 2:00 p.m. Please make use of it.
(7) Holding of the Nakayama Festival
- As circulated in the previous month, we discussed the idea basically on the assumption that it would be implemented, given the fact that it had been approved as a business plan at the written general meeting.
- On the other hand, during the discussion process, several people suggested that the event should not be held because the risk of new coronavirus infection still remains.
- Although the situation of new coronavirus infection is improving nationwide, the situation remains uncertain.
- With the above in mind, the committee discussed a proposal to implement the festival "in case of holding" and reached a majority in favor of the following direction.
- The show will not follow the same routine as in the past, but will also include outside cooperation as an option.
- Until now, the burden has been concentrated on the group leader, district leader, and three officers.
→An executive committee of volunteers, including junior high school, high school, and university students, will be organized to promote the project. Those who are able will cooperate in what they can do.
→ No food stall village will be implemented. Attract kitchen cars and mobile vending vehicles, etc.

→Consider dates for holding the event instead of limiting it to summer. - Make the festival a place where people can feel the benefits of being a self-governing member.
- While setting a limit, consider offering discounts and gifts with proof of membership fee receipt.
- Even in the case of implementation, measures to prevent transmission of the novel coronavirus should be taken.

- The board of directors discussed the above based on a sample flyer that gives an idea of the above, but since we are still in the process of making various arrangements and have no supporting information such as costs, we will refrain from circulating the flyer at this time. As we work out the details, we plan to circulate the flyer to all members of the community.
