Notice of the General Meeting of the Residents' Association (written resolution) (2023.03.06 Partially updated schedule)

In view of the prevention of the spread of the new coronavirus and the overlapping congressional election schedule, the general meeting of the Residents' Association will again be held this year with a written resolution.

Upcoming dates

  • End of February: Accounting closing date
  • Sunday, 3/12: Distribution of agenda for discussion to current members
  • Wednesday, 3/15 : Deadline for comments on the agenda for discussion from current members
  • Sunday, 3/26 : Distribution of the agenda for the General Assembly .
  • Sunday, 4/2 : Deadline for collecting delegate proxies and written votes for the General Assembly
  • Sunday, 4/16 : First board meeting for new board members .

Proposed Agenda for the General Assembly and its Discussion

  • As announced in last month's circular, due to the prevention of the spread of the new coronavirus and the overlapping dates of the council elections, the general meeting of the community association will again be held this year with a written resolution.

Distribution of the agenda for the General Assembly

  • It will be held on Sunday, 3/26 from 9:00 a.m. at the Residents' Association center.Persons in charge of general affairs are requested to attend the meeting.If you are unable to come, please have a proxy in your district.
    *From this year, in order to reduce the burden on board members, printing and binding will be outsourced, so there will be no bookbinding work.
  • You will be asked to take home a copy of the agenda, delegate proxy form, and written ballot for distribution in your district. Please consult with your district head and distribute them within your district. The agenda is for all the members in your group, one delegate proxy per group, and two voting forms since there are two delegates in your group.

Election of Delegates to the General Assembly

  • Nakayama Community Association uses a delegate system for the general meeting. The group leader should elect two delegates from the group (The current member, the group leader, is the proposer at the general meeting, so he/she cannot be a delegate). The group leader must then obtain signatures from all members of the group except for the delegates, stating that they are delegating to that person. The head of the group should give the delegate a written vote form to fill out and submit it and the proxy form to the district head by April 2 (Sun.). The district head is requested to collect and post the form to Mr. Obata's house.

For those who will be delegates to the General Assembly

  • This year again, the general meeting will be held without gathering at the hall, but by voting in writing. The group leader will distribute a written resolution form, and you will be asked to submit it to exercise your voting rights.
  • Also, the attendance of 2/3 of the delegates is required for the General Assembly to be held (Article 10, Chapter 6 of the Constitution), but we will accept the submission of a written resolution as a substitute for attendance.
  • The proposal will be approved by a majority vote, and the results of the vote will be announced in the April circular.
